Process modelling –
control the processes, or the processes will control you
Understand flows, discover bottlenecks and identify improvement opportunities.
Process development via modelling
Process development is about mapping in order to understand the workflows through an organisation and to optimize based on the whole, rather than on individual functions. Process modelling is used to define responsibilities and authorities, clarify and control success-critical functions, create a common picture of the current state and implement the desired outcome.
The benefits of a process-oriented approach
A process-oriented approach creates a common understanding within an organisation of common working practices, procedures and responsibilities. Mapping out a process reveals hidden sub-processes and activities, which often leads to "aha" moments. It helps to identify inefficient and cumbersome ways of working and makes it easy to see how different roles interact and how responsibilities can be reallocated to make work more efficient.
The benefits of process modelling:
- Provides a holistic view.
- Puts the user first.
- Bottlenecks are detected and
opportunities for improvement are identified. - Clarifies common goals.
- Clarifies responsibilities.
- Shows the skills required.
- Creates commitment and motivation.
- Facilitates improvements.
- Increases efficiency by reducing errors, lead times and costs.
Four challenges
Employees find it difficult to assimilate and understand the organisation's way of working, as there is no easy way to assimilate the information. They then do things their own way, with the resultant costs of disruption, friction and loss of energy.
Processes and cross-functional approaches are not always fully implemented, which increases the risk of sub-optimisation between different line activities, resulting in increased costs and reduced profitability.
The mapping of processes may be done by the book, but if there is no support for keeping the picture up to date in a decentralised way, the map's description of reality will become increasingly inaccurate over time.
A fourth challenge in introducing a process-oriented approach is to motivate and engage employees to use the process models in their daily work and to contribute to continuous process improvement.
Our solution to the challenges above
The answer to the above challenges is an integrated solution that makes it easy to model processes and flows and that has links to connected tools and other information that needs to be accessible. The user interface should also be simple and intuitive with graphical navigation.
The solution we provide has a dashboard for each process, with a clickable model of the process that allows you to access all relevant information, such as related documents, current metrics, process ownership, linked cases, communication etc.
CANEA Process - one of the modules of CANEA ONE - is used to:
- Identify and document processes.
- Create knowledge and awareness of processes.
- Link processes and people.
- Monitor, analyse and improve processes.
- Model processes in a consistent and standardised way.
Competitive advantagesand customer benefits
Att definiera processerna utgör grunden för att utveckla en verksamhet. Det är då man har chansen att upptäcka flaskhalsar och identifiera förbättringsmöjligheter samtidigt som både målarbete och mätningar blir lättare.
Competitive advantages:
1
Easy for process owners and managers to create and update processes to reflect the current situation at all times.
2
Even infrequent users can easily and intuitively create clickable processes that link to current documentation, tools, goals etc.
3
Complete solution where process models are managed fully integrated with procedures and instructions.
4
Full support for a common management of versions, referral flows, traceability and dissemination of information.
Customer benefits:
- Creates a common understanding of working methods, procedures and responsibilities.
- Helps organisations become truly process-oriented - have true cross-functional flows - reducing sub-optimisation and hassle.
- When a process is visualised, the overview increases, which helps employees to understand the connections. In addition, "invisible" processes and ways of working are often made visible, which can provide a "eureka" moment.
- Easy to see how different roles interact and how responsibilities can be reallocated to make work more efficient.
We have learned to work in a more process-oriented way and to interact more cross-functionally between different functions within the organisation. This has led to increased efficiency, but we have also got to know each other better within the organisation!
Features for express modelling, in combination with the drag-and-drop feature make it easy to create ready-to-use models with a couple of clicks.
Create dynamic links between processes to construct a hierarchical and clickable structure with a main process, sub-processes and activity schedule. Link to documents, views and other info directly from the models.
All process models are version managed, follow specific referral flows and are published when they are complete. Nominate a process manager and link other searchable properties to the process models.
The system displays every process and sub-process in a dashboard, giving employees an overview of the process, associated documents and cases, as well as the ongoing dialogue in the social stream.
Create user-defined icon libraries as needed, such as Value Stream Mapping or more Lean-centric models. Administer the libraries directly from the web browser.
CANEA Process integrates seamlessly with other parts of the CANEA ONE product family.
Access process information and process descriptions via the mobile interface. Easily read, comment and discuss processes on any device.
Part of a
comprehensive system
CANEA Process is one of five user-friendly modules in our CANEA ONE platform. The modules can be used as stand-alone modules and together form a comprehensive system for efficient business management; linking strategies, projects, processes, cases and documents.
